Connect BD WhatsApp and Outlook accounts

Connect BD contact identities, optional proxies, and personal or shared mailboxes.

#Two different kinds of channels

WhatsApp and Outlook are the BD's identities for contacting Creators. Connect them under Affiliate → Team & Channels → Team operations → select a BD → Outreach channels.

Messaging channels such as Feishu/Lark, WeChat, and Telegram let staff talk to AI or receive escalation notifications. Adding a Feishu recipient does not connect the BD's WhatsApp or email account.

APP CAPTUREEnglish light-theme BD contact channels with separate WhatsApp and Outlook accounts and preferred senders.

First create the real owner in Team operations, then confirm their public name, working mode, and handling device. Avoid assigning every BD's contact accounts to one temporary owner.

#Connect WhatsApp

In the BD's WhatsApp section, click Connect channel to open onboarding.

APP CAPTUREEnglish light-theme WhatsApp connection window with optional proxy selection.

  1. Select an enabled proxy if you need a specific network exit, or choose No proxy. A proxy is optional, not a connection requirement.
  2. Click Connect WhatsApp and wait for the connection QR code.
  3. On the phone holding this number, open WhatsApp and go to Settings → Linked devices → Link a device. Scan the Desktop QR code.
  4. Return to Desktop and confirm that the account is connected and assigned to the intended BD.

Refresh an expired QR code inside the connection window. Do not confuse this WhatsApp device-linking code with the mobile App pairing code. You are connecting the BD's WhatsApp identity, not a customer's phone number.

#Optional proxy management

Use Manage proxy pool to maintain authorized network exits. Enter the protocol, host, port, and authentication required by your provider. Use only proxies you are entitled to use; do not place proxy passwords in work instructions or chat messages.

A disabled proxy is not a valid selection for a new connection. When changing network configuration, check the account, proxy, and owner relationship, then verify connection health.

#Reconnect an existing account

Use Reconnect on the existing account and scan again. This flow preserves its BD ownership, proxy, and existing message routes. Do not repeatedly create new accounts for the same work number. If a connection button is unavailable, read the displayed reason and check network and connection-service availability.

#Connect Outlook

Click Connect channel in the BD's Outlook section. Choose the mailbox type before starting Microsoft authorization.

APP CAPTUREEnglish light-theme Outlook connection window with the personal mailbox option and native Outlook.com requirement.

TypePreparation
Personal mailboxUse a native @outlook.com account. Both the Microsoft login and actual mailbox must end in @outlook.com. A Microsoft account registered with Gmail or another address cannot be connected as this mailbox type.
Shared mailboxEnter the actual shared address, such as creators@brand.com, then authorize with a Microsoft identity entitled to access that mailbox.

APP CAPTUREEnglish light-theme shared mailbox onboarding with an address field.

Click Connect Outlook, verify the identity in the Microsoft sign-in window, and complete authorization. Desktop refreshes account status after a successful callback. Verify the mailbox address and BD owner. Opening authorization is not success: confirm that the account is connected.

If a mailbox becomes invalid or shows an error, read the reason next to the account and check the Microsoft identity, mailbox type, and authorization. Revoke removes the mailbox's connection authorization; it is not a substitute for team handover.

#Complete the business setup

A connected contact account does not automatically change working mode, Creator ownership, or approval policy.

  1. Check the preferred sender separately for WhatsApp and Outlook.
  2. Confirm the handling device is online and work instructions are correct. Choose AI-assisted when AI should participate.
  3. Check Creator protection. Manual-only BDs and protected Creators remain manual work.
  4. Configure whether actions such as sending messages require review in Team & Channels.
  5. Verify pending reviews, human-handling requests, and manual daily work in the Agent Workbench and Manual Workbench.

Connecting an account does not bulk-assign Creators to a BD. Creating a Campaign does not assign them either. See the assignment rules.

When responsibility changes, use Transfer on the contact account and separately check whether Creator relationships need handover. Account transfer and relationship handover are distinct decisions. Do not replace them with deletion and recreation.
